Transferring Stock to the Project Warehouse

In the Project module, when you create a project, any products issued through a Project Sales Order will be transferred to the Project Warehouse.

Each section in the Project Warehouse represents the inventory of one specific project.

Follow the steps below to transfer stock to a project warehouse.

Case 1: You have enough stock to ship

Step 1: Issue the Project Shipment

After creating a Project Sales Order, click Shipment → Pack all standard items.

Step 2: Dispatch and Confirm Delivery

The shipment will be created and shown in the Shipment tab.

  • If your company uses a dispatch process, dispatch the shipment first.

  • Then click DELIVER action to confirm the delivery status.

Once delivered, the stock is officially transferred to the project warehouse.

Step 3: Check Project Inventory

Go to the Rental Sales tab inside the project.


Here, you can view related orders and shipments. You can check project inventory in the rented-out inventory tab to see if they have been delivered to the correct project area.

Case 2: You don't have enough stock to ship

If you do not have enough stock to fulfill the project shipment, you will need to backorder the missing items, receive them into your warehouse, and then transfer them to the project warehouse. Follow the step-by-step instructions below.

Step 1: Create a Purchase Order for Backordered Items

When stock is insufficient, the system will notify you.

To backorder the out-of-stock items:

  • Click the Purchase button

  • Select 'Purchase Flexible Items'

Step 2: Confirm the Purchase Order

The system will automatically propose a Purchase Order with the required items.

  • Select the supplier

  • Click 'Create PO and Receive Note'

Step 3: Receive the Products

Enter the received quantities and other required information.


Click Save, then click 'Receive' to complete the receiving process.

The items are now available in your warehouse.

Step 4: Deliver the Project Shipment

Once the items are received, return to the project shipment and complete the delivery to transfer the stock into the Project Warehouse.

Case 3: Transfer stock from one project to another

In some cases, a project may finish early or no longer need certain items. You can transfer stock from one project to another instead of returning it to the main warehouse.

Step 1: Create a Stock Transfer Order

Open the project you want to transfer stock from. In this example, we transfer some items from Wedding B project to Wedding 2026 Project, so we open the Wedding B project.

  • Click the 'Stock Transfer' button

Step 2: Enter Transfer Details

  • Add the items you want to transfer (you can also scan barcodes or upload them from an Excel file)

  • Select the destination section
    (Each section represents a project’s inventory)

  • Enter the quantity for each item & click Save

Step 3: Complete the Transfer

  • Click Complete when you finish the transfer

Once completed, the stock will be automatically updated in the destination project’s inventory.
