What is a Backorder?
Sometimes your business receives Sales Orders before the stock is actually delivered. When the total quantity ordered exceeds what you currently have in stock, your Available Quantity drops below zero. That gap is your backorder quantity.
How to Generate a Backorder (Proposed Purchase Order) in EMERGE
You can create a backorder directly from a sales order when there isn’t enough stock to fulfill it.
However, if you have many orders to handle at once, it’s faster to generate a Backorder Report and create all required backorders in bulk.
Here’s how to do it:
Step 1: Go to the Report module in EMERGE. Open the Inventory Report dropdown and select Backorder Report.
Step 2: Customize your report
Use the filters to choose specific suppliers or products you want to review.
Leave the filters blank to view all products that need backordering across all suppliers.
Click View
Step 3: Review the report.
The system will show items that are out of stock or not enough to fulfill current sales orders.
Tick the boxes next to the items you want to backorder.
Click Issue Purchase Order when ready.
Step 4: Review the proposed purchase orders created by the system.
If a product does not have a default supplier, you can assign a default supplier here.
Click Next to continue.
The system will automatically group items by supplier so you can check details such as unit price, quantity, and tax(if applicable).
Step 5: Click Save when everything looks good. A message will confirm: “Successfully proposed purchase.”
The backorders will now be created and assigned to the proper suppliers.
